This policy explains how we collect and use personal information when you visit our website, submit a Book Your FREE Home Survey form, telephone or email us, request a quotation, receive a survey, become a customer or otherwise deal with HeatSave.
It should be read with the website cookie notice and any privacy information supplied at the point where personal information is collected.
3. Personal Information We Collect
- Contact and identity information, such as your name, telephone number, email address and preferred contact method.
- Property and survey information, such as postcode, address, property type, areas of concern, loft access, existing insulation, photographs, survey notes, measurements and appointment information.
- Enquiry, quotation and customer information, such as correspondence, requested services, quotation details, contracts, installation records, invoices, payments, warranty and aftercare records.
- Marketing preferences, including whether you have asked to receive or stop receiving marketing.
- Website and advertising information, such as IP address, browser and device information, pages visited, interactions, cookie choices, referral information and advertising identifiers such as gclid, gbraid, wbraid or UTM parameters where these are available and permitted.
- Call and communication information. We may keep notes of calls and correspondence. We will tell you if calls are recorded.

We collect information directly from you when you use a form, contact us, speak with our team, arrange a survey, accept a quotation or receive services.
We may also receive information from another household member, a person acting on your behalf, a referral partner, installer or subcontractor, product or warranty provider, website analytics and advertising services, or publicly available property and address sources.

- To respond to enquiries, check service availability, arrange and carry out surveys, prepare quotations, take steps at your request before a contract and perform contracts. Our lawful basis is contract or steps requested before entering a contract.
- To manage appointments, customer service, installation, payments, warranties, complaints and aftercare. Our lawful basis is contract, legal obligation and, where appropriate, legitimate interests in operating and protecting our business.
- To maintain tax, accounting, insurance, safety and compliance records, establish or defend legal claims and respond to regulators or authorities. Our lawful basis is legal obligation and legitimate interests.
- To secure, operate, troubleshoot and improve the website and forms, prevent fraud and abuse and understand non-identifying service performance. Our lawful basis is legitimate interests, except where consent is required for cookies or similar technologies.
- To measure advertising and enquiries, including attributing a submitted lead to an advertisement. Where cookies or similar technologies require consent, our lawful basis is consent. Where permitted processing does not require consent, we rely on legitimate interests after considering your rights.

If you do not provide required contact or property information, we may be unable to arrange a survey, prepare a quotation or provide the requested service.
Optional marketing consent is not required to receive a survey or service.
7. Sharing Personal Information
We do not sell personal information.

- Website hosting, form, CRM, telephone, email, IT and security providers.
- Surveyors, installers and subcontractors.
- Product manufacturers, warranty or insurance providers where relevant to an agreed service.

Service providers acting for us must use information only for the agreed purpose and protect it appropriately. Some recipients may act as independent controllers under their own privacy information.

- Marketing records: until you withdraw consent or object, plus a minimal suppression record so that we can respect your choice.
- Cookie and advertising data: according to the durations shown in the cookie notice and the relevant consent settings.
We may retain information for a different period where the law requires it or where reasonably necessary to establish, exercise or defend legal claims.

Where we ask for consent, it will be separate from the survey request, optional and unticked by default.
You can stop marketing at any time by using an unsubscribe link or contacting us.
We may keep a minimal suppression record to ensure we do not contact you again through that marketing channel.
You will still receive necessary service communications about an active enquiry, appointment or contract.

We use reasonable technical and organisational measures designed to protect personal information.
Measures may include access controls, secure connections, backups, supplier due diligence, staff access limits and procedures for identifying and responding to incidents.
No internet service can be guaranteed completely secure, so please avoid sending unnecessary sensitive information through general website forms.

The website and our services are intended for adults arranging services for a property.
We do not knowingly collect personal information from children through the survey form. If you believe a child has submitted information, please contact us.
